Template structure

Revenue: sales, service revenue, and other operating revenue. Direct costs: materials, fulfillment, direct labor, and merchant costs when your accounting policy treats them as direct. Operating expenses: payroll, rent, software, insurance, professional services, travel, and other overhead. Finish with other income, other expense, taxes, and net income.

Monthly close checks

Reconcile every bank and card account to its statement. Confirm revenue cutoffs, unpaid bills, payroll liabilities, loan balances, and owner transactions. Compare the result with the prior month and investigate changes that are material to the business.

How to use the result

Review gross margin, operating margin, and expense trends in both dollars and percentages. A clean statement should let you trace each figure back to ledger entries and source activity.

Frequently asked questions

What period should a profit and loss statement cover?

Monthly statements are useful for operating decisions. Quarterly and annual views help show seasonality and longer trends.

Is cash balance the same as profit?

No. Loan payments, owner contributions, asset purchases, unpaid invoices, and unpaid bills can make cash movement differ from profit.

Should every expense be grouped together?

No. Use categories that support decisions while keeping the chart of accounts stable enough for reliable comparisons.
