Accounting and Autonomous Bookkeeping Disclosure

GlacialBooks can do routine bookkeeping work, but software output is not an audit opinion, tax filing, or guarantee that every accounting conclusion is correct.
1. Bookkeeping scope
GlacialBooks can import financial activity, maintain a double-entry ledger, categorize and reconcile transactions, allocate costs, manage receivables and payables, process uploaded source documents, prepare reports, and run month-end close workflows. Availability and automation depth depend on complete source data, the selected plan, organization configuration, connected providers, and user permissions.
2. GAAP and other accounting frameworks
The Financial Accounting Standards Board identifies its Accounting Standards Codification as the authoritative source of nongovernmental U.S. GAAP. GlacialBooks provides tools that may support a customer's GAAP policies, but it is not the Codification and does not determine every fact, estimate, election, materiality judgment, industry rule, or disclosure requirement. A chart of accounts, balanced journal, reconciled account, or completed close does not by itself establish GAAP compliance. Customers using another framework must configure and review their policies accordingly.
3. Autonomous close
A completed automated close means the configured checks and actions finished without an unresolved system blocker. It does not mean an independent accountant audited the period or that every unknown business fact was discovered. Missing statements, unrecorded obligations, owner transactions, inventory facts, capitalization judgments, revenue recognition terms, contingencies, and tax elections can require customer or professional input.
4. Reports and forecasts
Profit and loss, balance sheet, cash flow, aging, profitability, runway, variance, and roll-forward reports reflect the records and policies available at the time generated. Forecasts and recommendations are estimates, not promises. Reports should be reviewed before they are provided to a tax authority, lender, investor, customer, board, insurer, grantor, or other third party.
5. Tax and payroll limitations
GlacialBooks may organize tax-related and payroll summary data, but it does not file returns, calculate every jurisdictional obligation, transmit payroll, or replace a tax professional unless a separate signed agreement says otherwise. Coming-soon integrations are not available services. Customers remain responsible for registration, elections, forms, deposits, payments, deadlines, and professional review.
6. Corrections and audit evidence
Posted journal entries are immutable. Corrections use reversing or adjusting entries so the original event and the correction remain traceable. Imported records, mappings, confidence, user actions, and automation runs preserve lineage where supported. Retention of evidence helps investigation but is not a substitute for records the customer is legally required to maintain outside the Service.
7. Customer review responsibility
Customers must provide complete source data, explain business purpose when it cannot be inferred, review material estimates and exceptions, reconcile external statements, and engage a qualified accountant, CPA, tax professional, or attorney when the facts or intended use require one. An accountant granted access remains responsible for the professional standards and engagement terms that apply to that accountant.
8. Related terms
This disclosure supplements the Terms of Service and AI Transparency and Risk Management Notice. If it conflicts with a signed agreement that expressly assigns bookkeeping or professional-service responsibility to FinArctic LLC, the signed agreement controls for that assigned responsibility.
